Common Issues & Solutions

Phone Number Issues

Phone number is empty (Mailchimp → monday.com)

If the phone number is invalid, the value will be ignored. This is intentional, as phone numbers can be incorrect (typo) or incomplete (missing country code). Since the validation rules for the phone column type are quite strict, the integration ignores the value to ensure the contact ends up in your monday.com board.

Solutions:

  • Ensure phone numbers include proper country codes
  • Use international format (E.164) for non-US/CA numbers
  • Validate phone data in Mailchimp before syncing

Authentication Problems

Pop-up Windows Blocked

If authentication pop-ups don't appear:

  1. Check browser pop-up settings and allow pop-ups for monday.com
  2. Disable browser extensions that might block pop-ups
  3. Try using an incognito/private browsing window
  4. Clear browser cache and cookies

Insufficient Permissions

For Mailchimp authentication failures:

  • Verify you have Manager role or higher in Mailchimp
  • Check that your account has permission to manage audiences
  • Ensure webhook configuration permissions are available
  • Contact your Mailchimp admin if needed

Automation Issues

App Not Visible in Automations

If the Mailchimp Hub doesn't appear in your board's automation center:

  1. Navigate to Marketplace > Installed > Mailchimp Hub > View App > Use App
  2. Create your first automation to make the app visible
  3. Refresh the automations panel
  4. Check that the app is installed for the correct workspace

Sync Failures

Mapping-related failures:

  • Verify all required fields (marked with *) are mapped
  • Check data type compatibility between platforms
  • Ensure dropdown values exist in the target platform
  • Review field-level permissions in both systems

Connection-related failures:

  • Confirm both accounts are properly authenticated
  • Check if API rate limits have been exceeded
  • Verify network connectivity and firewall settings
  • Test with a simple automation first

Data Sync Problems

Partial Data Sync

When only some data syncs successfully:

  • Review field mappings for unmapped required fields
  • Check for data format incompatibilities
  • Verify character limits for text fields
  • Look for special characters that might cause issues

Duplicate Contacts

To prevent duplicate contact creation:

  • Ensure email addresses match exactly between platforms
  • Use consistent naming conventions
  • Map unique identifier fields when available
  • Regular data cleanup in both systems

Missing Updates

When changes don't sync:

  • Check if automation triggers are properly configured
  • Verify the direction of your automation setup
  • Ensure the changed fields are included in mapping
  • Review automation logs for error messages

Platform Limitations

Some behaviour comes from the platforms themselves rather than the app, and cannot be worked around in the mapping.

  • Empty fields are not passed to integrations
  • Email address changes cannot be detected automatically
  • Column type changes require re-mapping

Mailchimp

  • New dropdown values cannot be created via API
  • Tag changes don't trigger automatic notifications
  • VIP status changes are not automatically detected
