Syncs

Current Sync Capabilities

We are working on a better solution to keep your data in monday.com and Mailchimp in sync. If you're interested in it, please leave a message.

The current sync functionality provides real-time synchronization between your monday.com boards and Mailchimp audiences through the initial setup process covered in the Getting Started section.

Sync Limitations

No Automatic Tag Synchronization

Tags cannot be automatically synchronized because Mailchimp does not support automatic notifications for tag changes of a contact. Therefore, we cannot determine which platform contains the correct tags that should be synchronized.

Workaround: You can partially automate tag management using automations. For example, create one automation that reads tags from a contact in Mailchimp and updates them in your monday.com board, and another automation that handles the opposite direction.

You can then manage contact tags in your monday.com board and manually trigger synchronization through the automations.

No VIP Status Synchronization

Same limitation as tags. VIP status changes are not automatically detected by Mailchimp's notification system. Please check the explanation and solution above for tags - the same approach applies to VIP status management.

One-Way Synchronization

All automations are designed to sync data only in one direction. If you need to sync your data in both directions, you have to set up another automation for it with the same mappings.

Empty Field Values (monday.com → Mailchimp)

A mapped column which is empty won't be synced with Mailchimp. This is a technical limitation by monday.com because the integration gets only the value of mapped columns with a value. Please keep this in mind when you want to remove a value from a contact.

Email Address Changes (monday.com → Mailchimp)

Via automations, we are unable to detect that you changed the email address of an item. As a result, the automation will fail or create a new contact (depending on your action).

Solution: Please adjust the email address in Mailchimp manually. If you are interested in a better solution, please provide us some feedback.

Sync Performance

Data Volume Considerations

  • Large datasets: Initial sync may take time depending on data volume
  • Rate limits: Respects both monday.com and Mailchimp API rate limits
  • Batch processing: Processes updates in batches for efficiency

Monitoring Sync Status

  • Success indicators: Check for successful completion notifications
  • Error logging: Review automation logs for failed sync attempts
  • Data validation: Verify critical data points after initial sync

Future Sync Enhancements

We are actively developing improved sync capabilities including:

  • Real-time bidirectional sync
  • Automatic tag synchronization
  • VIP status sync
  • Enhanced error handling and recovery
  • Bulk data management tools

Stay tuned for updates and new features. Your feedback helps us prioritize development efforts.

Best Practices for Current Sync

Initial Setup

  1. Start with a test board and small dataset
  2. Verify all mappings before full deployment
  3. Test both directions if bidirectional sync is needed
  4. Document your configuration for troubleshooting

Ongoing Management

  • Regular monitoring of sync status and logs
  • Periodic data audits to ensure consistency
  • Backup procedures before making major changes
  • User training on proper data entry practices

Performance Optimization

  • Minimize unnecessary automations to reduce API calls
  • Use appropriate triggers to prevent excessive syncing
  • Regular cleanup of unused or duplicate data
  • Monitor API usage to stay within platform limits
