Automations
The app provides powerful automations to streamline your workflows between Mailchimp and monday.com. All automations are designed for single-direction data flow. For bidirectional synchronization, create two separate automations with identical mappings but opposite directions.
Note: Campaign automations are limited to Mailchimp → monday.com direction only.
Setting Up Automations
- Navigate to your monday.com board and click "Automate" to open the automations panel
- Search for "Mailchimp" in the search bar
- Look for the "Apps" section containing our Mailchimp Hub app
- Click on the app to view available automation templates
- Select the automation that matches your workflow needs
Mailchimp Connection & Audience
We recommend starting by selecting the Mailchimp account and audience that will be used for your automation.
To connect a new account:
- In the automation recipe, locate the Account field and click on it
- Click Connect and follow the authentication process
- Important: A Mailchimp Manager role or higher is required to manage contacts and configure webhooks
- Wait for the redirection back to the monday.com automation screen to complete
Important Note: All connected accounts are shared across all app features. Removing a connection will affect all automations and syncs using that account, potentially causing them to fail.
Available Automation Types
Contact Sync Automations
- monday.com → Mailchimp: Sync new or updated contacts from monday.com to Mailchimp
- Mailchimp → monday.com: Import contacts from Mailchimp into your monday.com board
Campaign Automations
- Campaign Performance Tracking: Import campaign statistics and performance data into monday.com boards
- Campaign Status Updates: Monitor campaign status changes and update corresponding items
Tag Management
- Tag Sync: Manually sync contact tags between platforms using automation triggers
- Conditional Tagging: Apply tags based on specific conditions or item status changes
Best Practices
Automation Setup
- Always test automations with sample data before full deployment
- Use descriptive names for your automations to maintain organization
- Document your mapping choices for future reference
Performance Optimization
- Avoid creating duplicate automations for the same data flow
- Use appropriate triggers to prevent unnecessary API calls
- Monitor automation logs for errors or failed executions
Data Management
- Ensure consistent data formats between platforms
- Regularly review and update field mappings as your needs evolve
- Keep backup exports of critical data before making major changes
Troubleshooting Common Issues
Automation Not Visible
If automations don't appear in your board's automation center:
- Navigate to Marketplace > Installed > Mailchimp Hub > View App > Use App
- Create your first automation to make the app visible in the automations panel
Authentication Failures
- Verify you have Manager-level permissions in Mailchimp
- Check that pop-ups are enabled in your browser
- Ensure both accounts are properly connected before proceeding
Mapping Issues
- Confirm data types are compatible between platforms
- Check that all required fields (marked with *) are mapped
- Verify dropdown values exist in the target platform before mapping
